Admin Assistant (Inventory Control) Dairy

Level: Skilled Worker/Junior Management Reports To: Inventory Controller

Purpose of the Role:

As an integral member of our team, you will play a crucial role in maintaining the accuracy and efficiency of our finished goods inventory. This involves a blend of computer-based stock control and hands-on physical stock checks in our cold storage facility. Your attention to detail and accuracy will directly impact our company’s profitability.

Key Responsibilities:

  • Inventory Management:
    • Daily monitoring and reconciliation of finished goods stock levels across multiple systems (CquentialSAPBusiness Central).
    • Proactive identification and resolution of stock count variances, collaborating effectively with Production and Accounting departments.
    • Conduct regular stock takes (daily, weekly, monthly), including physical checks in the cold storage environment.
    • Efficient processing of stock transfers within SAP and Business Central.
    • Expert management of transactions within the Cquential stock control software.
    • Daily review of finished goods stock reports, promptly addressing any discrepancies.
    • Active participation in the investigation of production variances.
  • Administrative Support:
    • Provide efficient administrative support to the Distribution Center (DC) as needed.

Qualifications and Experience:

  • Proven experience in administration, accounting, inventory control, or a related warehouse environment.
  • Exceptional attention to detail, a methodical approach, and strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills and advanced numeracy skills.
  • Intermediate proficiency in MS Excel; experience with SAP or MS Business Central is highly desirable.
  • Ability to work both independently and collaboratively within a team.

Preferred Skills:

  • Experience with WMS (Warehouse Management System) integration.

Working Conditions:

  • Head office location in the picturesque KZN.
  • Occasional weekend/public holiday work may be required.
  • Work will involve time spent in a cold storage environment.

Key Performance Indicators (KPIs):

  • Accuracy of stock counts and reconciliation.
  • Timeliness of stock transfer processing.
  • Efficiency in resolving inventory discrepancies.
  • Overall contribution to inventory control accuracy and efficiency.

Barriers to Success:

  • Lack of attention to detail and accuracy.
  • Insufficient computer skills, particularly in Excel, SAP, or Business Central.
  • Inability to work effectively both independently and as part of a team.
